Welcome to KarvaHRMS, a cloud-based Human Resource Management System operated by Karva Technologies ("Company", "we", "us", or "our"), registered and operating from Coimbatore, Tamil Nadu, India.
Please read these Terms and Conditions carefully before using our platform at newhrms.karvatechnologies.com or any associated mobile applications (the "Service").
By accessing or using KarvaHRMS, creating an account, or clicking "I Agree," you confirm that you have read, understood, and agree to be bound by these Terms. If you are accepting on behalf of a company or other legal entity, you represent that you have the authority to bind that entity to these Terms.
If you do not agree to these Terms, you must not use the Service.
KarvaHRMS provides a Software-as-a-Service (SaaS) HR management platform that includes:
We reserve the right to modify, suspend, or discontinue any feature of the Service at any time, with reasonable notice where possible.
To use KarvaHRMS, you must register for an account by providing accurate, complete, and current information. You are responsible for maintaining the accuracy of this information throughout your use of the Service.
You are solely responsible for maintaining the confidentiality of your account credentials. You agree to notify us immediately at admin@karvatechnologies.com if you suspect any unauthorised access to your account.
As an administrator, you may create accounts for your employees (HR managers, employees). You are responsible for ensuring that all users under your account comply with these Terms.
Each subscription covers one company entity. You may not use a single subscription to manage multiple legally separate organisations.
KarvaHRMS is offered on a monthly subscription basis. Current pricing is displayed on our pricing page. All prices are in Indian Rupees (INR) and inclusive of applicable GST (currently 18%).
Payments are processed securely by Razorpay. We do not store your payment card details. By completing payment, you also agree to Razorpay's terms of service.
Subscriptions are billed monthly. You will be notified before each renewal. You may cancel at any time before the next billing date to avoid charges for the following month.
New customers are eligible for a 30-day free trial. No payment is required during the trial period. If you do not cancel before the trial ends, your selected plan will be activated and billed.
If you are not satisfied within the first 30 days of a paid subscription, contact us at admin@karvatechnologies.com for a full refund. After 30 days, no refunds are issued for partial months.
If a payment fails, we will notify you and provide a grace period of 7 days to update payment details. After this period, access may be suspended until payment is resolved.
All data you upload to KarvaHRMS — including employee records, attendance logs, salary information, and documents — remains your property. We do not sell, share, or use your business data for any purpose other than providing the Service.
We implement industry-standard security measures including TLS encryption in transit, encryption at rest, regular backups, and access controls. However, no method of internet transmission is 100% secure, and we cannot guarantee absolute security.
The face recognition attendance feature processes biometric data. This data is stored as mathematical embeddings (not photographs) on our servers and is used exclusively for attendance identification within your organisation. You are responsible for obtaining appropriate consent from your employees before enrolling their face data.
Upon cancellation, your data is retained for 90 days during which you may request an export. After 90 days, data is permanently deleted from our systems.
Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms by reference.
KarvaHRMS, its software, design, trademarks, logos, and all content are the exclusive property of Karva Technologies and are protected by applicable intellectual property laws.
You are granted a limited, non-exclusive, non-transferable licence to use the Service solely for your internal business purposes in accordance with these Terms. You may not copy, modify, reverse-engineer, distribute, or create derivative works based on the Service.
You agree not to use KarvaHRMS to:
Violation of these prohibitions may result in immediate account termination without refund.
You may cancel your subscription at any time from your account settings or by contacting support. Cancellation takes effect at the end of the current billing period.
We may suspend or terminate your account immediately, with or without notice, if you: violate these Terms, engage in fraudulent activity, fail to pay, or if we are required to do so by law.
Upon termination, your right to access the Service ceases immediately. We will retain your data for 90 days before permanent deletion, during which you may request an export.
To the maximum extent permitted by applicable law, Karva Technologies shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business, arising out of or in connection with your use of the Service.
Our total liability to you for any claims arising from these Terms shall not exceed the amount you paid to us in the three (3) months preceding the claim.
The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, or non-infringement.
You agree to indemnify, defend, and hold harmless Karva Technologies, its officers, directors, employees, and agents from any claims, liabilities, damages, and expenses (including reasonable legal fees) arising out of your use of the Service, your violation of these Terms, or your infringement of any third-party rights.
These Terms are governed by the laws of India. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts in Coimbatore, Tamil Nadu, India.
Before initiating any legal proceedings, both parties agree to attempt to resolve disputes amicably through good-faith negotiations for a period of 30 days.
We may update these Terms from time to time. If we make material changes, we will notify you by email or by displaying a prominent notice on the platform at least 14 days before the changes take effect.
Your continued use of the Service after the effective date of updated Terms constitutes your acceptance of the changes.
